Website Community Planning Collaborative
Community Planning Collaborative is seeking a motivated Operations Coordinator to support all aspects of our organization. You will be an integral member of our small team, supporting daily operations as we advance leading-edge housing and planning initiatives across California and beyond. This position will involve the daily coordination of administrative tasks and operations support for our team, including managing our office, file systems, logistics coordination, software subscriptions and access, scheduling, finalizing contracts, hiring, on-boarding, capacity and project budget tracking, and more.
You are self-directed, proactive, and experienced at developing, overseeing and owning the systems needed for a small office to run effectively. You are an organized and detail-oriented individual who will help our office, team, and projects stay organized too. You are unflappable, good humored and enjoy being part of a high performing team. You can track tasks over time and easily manage the prioritization of multiple tasks. You are proud of your work, responsive to feedback and committed to high-quality outcomes.
Initially, you will work closely with the principals and project managers to learn about existing systems and processes, but eventually will be expected to undertake and initiate work independently with minimal oversight. This is a flexible, hybrid position but you need to be located in the San Francisco Bay Area or willing to relocate. You will work in our Berkeley office at least two days a week after on-boarding and have the option to work remotely the rest of the week.
The Operations Coordinator will work at least 20 hrs/week with the possibility of full-time now or in the future. Generally, we maintain a healthy work/life balance and do not work more than 40 hours per week, but occasionally there are deadlines that require pushes.
Required skills:
- Two or more years of proven success in an operations coordinator or management role
- Excellent verbal and written communication skills
- Exceptional attention to detail, with strong organizational and task management skills
- Excellent time management skills and ability to manage, track, and prioritize multiple tasks
- Entrepreneurial attitude and strong independent problem-solving abilities
- Ability to establish, maintain and train on new processes
- Demonstrated ability to provide consistent support, including but not limited to scheduling, logistics planning, contracting and budgeting, client communications, note taking, and tracking details
- Knowledge of business productivity software and an aptitude for learning new applications
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Bachelor’s degree or equivalent lift and work experience
Desired skills:
- Accounting and/or human resources experience
- Comfort facilitating or leading team meetings
- Proficient in Salesforce
Other Requirements:
- Located in the SF Bay Area with ability to commute to work in Berkeley two days per week
